Personalisation and Design Proof Policy

Last updated: 11 October 2026

This policy explains how to supply your wording, request a proof and approve your personalised Rose Signage Co. order. Please read it with the product listing and our Terms & Conditions of Sale.

1. Choose your product and design

Select the design, size, colours, finishes and available upgrades shown in the listing. We personalise established Rose Signage Co. layouts. A completely new bespoke design is only included where expressly agreed before ordering.

Printed and raised 3D elements vary by product. Check the listing photographs and description for what is included. Alternative wording must fit the chosen size and layout; contact us before ordering if you need substantial changes.

2. Supply your personalisation

Enter the exact wording you want, including names, dates, times, venue details, spelling, punctuation and capitalisation. Check all selections and your delivery address before checkout.

For seating plans, send a clear written list organised by table. If you make amendments, send complete updated tables and identify the latest version rather than sending isolated name changes. For packages, follow the listing instructions and email any remaining details with your order number.

Only supply photographs, wording or artwork you have permission to use. We handle these files under our Privacy and Cookie Policy.

3. Hold an order until your details are ready

You may order before your final wording or seating plan is ready. After ordering, email info@rosesignageco.co.uk with your order number and clearly ask us to hold production. Tell us which details will follow and send the complete final information when ready.

Production begins once we have received the information and approvals needed. A held order does not reserve a guaranteed delivery date; contact us if a deadline is essential.

4. Design proofs are optional

A proof is not sent automatically. If you want to review your design before production, purchase the full-colour design-proof upgrade when ordering. The applicable charge is shown with the product options.

If no proof upgrade is selected, we make your product using the wording, design and colour choices submitted with your order. Requesting a proof later is subject to the production stage and agreement of any applicable charge.

5. What your full-colour proof shows

The digital proof lets you check:

  • Names, wording, spelling and punctuation

  • Dates, times, venue details and table allocations

  • General layout and the selected design

  • Your chosen colour combination

  • Placement of printed and raised 3D details

A digital proof is a representation of the design. Screens and rendering do not reproduce physical acrylic colours or mirror reflections exactly. Order physical samples before purchase if precise colour matching is important.

6. Receiving and checking your proof

We send the proof to the email address used for your order. Check your inbox and junk or spam folders while your order is being prepared.

Reply within 48 hours of the proof being sent to approve it or request amendments. If you have not received an expected proof, or need more time, contact us promptly so we can confirm the position before production.

If we do not receive a response within 48 hours, we may proceed using the proof and information supplied with the order, as described in our FAQs. Approval delays may affect dispatch and delivery estimates.

7. Requesting amendments

Reply to the proof email with one clear list of corrections within the response window. Changes must remain within the product and design purchased. A different design, substantial additional wording or extra 3D details may require an additional charge, which we will confirm before undertaking the extra work.

Check any revised proof in full; do not check only the latest correction. If you notice an error after submitting details or approving a proof, contact us immediately. Changes cannot be guaranteed once artwork preparation or production has begun.

8. Approval and production

Approval confirms that you have checked the complete wording, spelling, layout and selected details. We then proceed to production. Changes cannot normally be made after approval or once manufacturing has started.

You are responsible for the accuracy of information you supply. This does not remove your rights if we manufacture a product differently from the accepted details or approved proof, or if goods are faulty, damaged or not as described.

9. Cancellations, delivery and help

Contact us within 24 hours of ordering to request an amendment or cancellation. Please see our sales terms for personalised products and statutory cancellation rights.

Current production estimates are shown in the website banner. Delivery is additional to production; rush production must be agreed separately from express delivery. See Shipping & Returns for delivery and order issues.

For help, email info@rosesignageco.co.uk with your order number and wedding or required date. More ordering guidance is available in our FAQs.
